Through the season

New and changed swimmers, changing the calendar or settings mid-season, championship days, the end of season and starting a new one.

New and changed swimmers

  • New swimmer: add a row on Members (name, gender, date of birth, Financial). They get an ID automatically and appear on the next entry sheet. Their first swim in each event is a time trial.
  • Paid fees: tick Financial (and Date Paid). Attendance shows championship eligibility straight away.
  • Corrected date of birth or gender: fix it on Members. Groups and divisions update immediately; reports pick it up next time they run. For a meet not yet saved, 🌊 Race day › 🔁 Rebuild races for a day re-groups its races.
  • Swimmer leaves: leave their row in place so their results stay linked. Never delete or reuse an ID.

Changing the calendar or settings mid-season

  • Edit the Calendar at any time for meets not yet prepared: move dates, add or remove events, change entry rules.
  • Settings can change mid-season in 🎛️ Settings. Each race keeps the format it was swum in, so changing Race Format never alters results already saved.
  • After a big change (points, groups, cutoff date), run ⚙️ Setup › 🔄 Re-check all results, then the reports.

Championship days

  1. Before the day, run 🗓️ Attendance & eligibility to see who has attended enough meets (and is financial, if required).
  2. Prepare entries as usual. Championship events show on the entry sheet marked (Champ).
  3. Build race sheets. Each swimmer is placed in the race for their age band; championship races are off scratch. The build message lists anyone entered who is not yet eligible, so you can decide.
  4. Save results as usual, then run 🏅 Championship results.

End of season

  1. Save the last meet’s results and run every report.
  2. Download or print the final Point Score, Point Tally and Championship Results for presentation night.
  3. Keep the season’s sheet as the club’s record: rename it, e.g. “Freshwater ASC 2026/27 – final”, and stop editing it.

Starting a new season

  1. Make a copy of last season’s sheet (File › Make a copy) so members, events, groups and settings carry over.
  2. In the copy, clear last season’s results. The cleanest way is to ask your support contact, or keep a copy that has members, events and settings but no results.
  3. In 🎛️ Settings › Season & championships, set the new season start and age cutoff date. Ages and groups move up automatically.
  4. Load or type the new calendar (⚙️ Setup › 📆 Load sample season works from the new start date).
  5. Update Financial ticks as fees come in.

To start completely fresh instead, ⚙️ Setup › ♻️ Reset to a blank template (type RESET to confirm) deletes every swimmer, result, calendar row and championship and restores default settings. It cannot be undone, so copy the sheet first.
